    Enter the event name, date, location and organiser. These appear at the top of the printed schedule.

    Adjust each time slot to match your programme. Assign a responsible person and add notes per activity.

What are good examples of event schedule components?

Good examples of event schedule components are a clear start and end time, dedicated buffer time, and exactly one responsible person per task.

    Build in buffer time: Plan 10-15 minutes of buffer after complex sections. Guests always arrive later than expected.

    One responsible person per activity: Give each activity a single owner so everyone knows who takes the lead.

    Share at least a week in advance: Send the final schedule to all team members and suppliers.

What is an event schedule template?+
An event schedule (also called a run of show or event run sheet) is a detailed timeline of your event. It lists each time slot, the activity taking place, who is responsible, and any special notes — so everyone knows exactly what to do and when.
How do you create a schedule for a reunion or party?+
Start with the fixed anchors: arrival, dinner and end time. Then fill in the activities in between. Assign a responsible person to each activity and add notes for anything that needs attention, like AV setup or catering instructions. It depends on the length and type of event. For a 3-4 hour reunion evening, 5-8 time slots is typical. Add a slot for every distinct activity — including free time, breaks or setup and breakdown time.
